Planning and cost

How much does a custom web application cost?

The cost depends on what people need to do, the systems it connects to and the complexity of the work. Our custom software cost guide explains what affects the price.

Can we start with a smaller version and add more later?

Yes. We can plan a first version around the most useful tasks and add features as the business needs them. Our guide to a first software version explains how that works.

Working with Codebytes

Where is Codebytes based?

Codebytes is based in Hamilton, Ontario, and works with businesses in Burlington, Toronto and across Ontario. Projects can combine in-person meetings with calls and online demonstrations.

Who will I work with on my project?

Casey is your direct contact for planning, development and launch. You can ask questions, review working software and give feedback throughout the project.

Can we meet in person?

Yes. We can meet in person to talk through your project, see how your team works and review the software together.

What should I prepare before we talk?

Start with the task you want to improve, the programs you use and what you would like to be able to do. You do not need a technical plan. A sample quote, form or report can help explain the work.

Websites and web applications

Will my web application work on phones and tablets?

Yes. It can be designed for phones, tablets and computers, with layouts suited to each screen. People open it through their browser without installing a separate app.

Can customers book, pay or manage an account on my website?

Yes. A website can include bookings, online payments and private customer accounts, connected to the tools your staff use to manage those services.

Can it connect to software we already use?

Often, yes. Applications such as accounting systems and customer databases may provide ways to exchange information. I’ll check what your existing software supports and explain the available options.

Can you improve our existing website or application?

I can review the existing system and identify what can be updated or extended. That review also helps establish whether rebuilding any part would make more sense.

Mobile apps

Do we need an app or a mobile-friendly website?

A mobile-friendly website opens in a browser without installation. An app is installed on the phone and can be useful for frequent use or features such as the camera and notifications. We can compare the options based on what your customers or staff need to do. Our web development page explains the browser-based option.

Can an app connect to software we already use?

Often, yes. An app can connect to customer records, bookings or other information in existing business software. We check what the software allows and how people will sign in securely.

Can the app work without an internet connection?

Some tasks can be designed to work without a connection, such as recording job notes. The app can send those updates when it reconnects. Other tasks may need a live connection, so we agree on what must work offline before building it.

Desktop software

Can you replace an old desktop application?

Yes, we can review the existing application and plan a replacement around what your team still needs. That includes keeping access to your records and checking any connected equipment. Our guide to replacing unsupported software explains what to consider.

Can we also access information through a website?

Yes. A desktop application can connect to an online account or staff website, so authorized people can access shared information through their browser. Klarity Car Wash combines installed touchscreen applications with online administration.

Will it work on our existing computers?

ZenFlow is built for Windows and Mac, while Klarity uses Windows. We check your computers, connected equipment and software requirements before planning the application.

Software integrations

Do we need a custom integration?

Some programs already offer a connection to the other software you use. If it gives you the access and features you need, setting it up may be enough. Custom development can help when the available connection does not cover what your business needs.

Can every program be connected?

It depends on what the software provider allows. We check how your programs can be connected, what information is available and whether extra access or a different subscription is needed before agreeing on the work.

What do you need to get started?

Start with the names of the programs you use and what you would like to access or do across them. You do not need to know the technical details. I can help check the available connections and work out the options with you.

Hardware integrations

Can you connect software to equipment we already own?

We can review the equipment and the connections its manufacturer supports. That establishes what information the software can access and whether it can control the device. The Klarity case study shows software connected to existing car-wash equipment.

Can equipment and business software work together?

Yes, where the equipment and software support the connections needed. For example, a scale reading or a barcode scan can become part of a job or stock record. We review the devices, software and access requirements together.

Can you connect a payment machine to our custom POS software?

Yes, where your payment provider and terminal support an integration. The connection can send the sale amount to the payment machine and record the payment result in your POS software. We check your provider and terminal model before planning the work. Our payment terminal integration guide explains what to consider.

Can connected equipment work with a web application?

Yes. A web application can give staff secure access to equipment information and supported controls through their browser. Some equipment also needs software installed on a local computer to make the connection. We check what your devices support before recommending an approach.

CRM and customer follow-up

Can we keep the CRM we already use?

Yes. We can review whether your existing CRM can be adjusted or connected to other programs. A custom addition may cover what is missing without replacing the customer records and tools your team already uses.

Can we bring our existing customer records into the system?

Usually, if the records can be exported or accessed from your current software. We check which details can be moved, how to handle duplicates and how your team will review the records before using the new system.

Can different staff have different access to customer information?

Yes. We can set permissions for viewing and changing records. For example, a salesperson might manage inquiries and quotes, while someone carrying out a job sees the contact details and instructions they need.

Quoting and estimating

Do we need to replace our quoting spreadsheet?

If it still works well, you may only need a few improvements or a connection to another program. A dedicated quoting system can help when calculations, revisions or repeated data entry become difficult to manage. Our comparison of custom quoting software and CPQ explains the options, including software for configuring products and calculating their prices.

Can the system use our existing prices and calculations?

Yes. We review your price lists, formulas and sample quotes, then agree how the system should calculate each part of the price. We check the results against familiar examples before your team starts using it.

Can a manager approve a quote before it is sent?

Yes. A quote can wait for approval before staff send it to the customer. You can decide whether every quote needs review or only certain cases, such as a large discount or an unusual job.

Scheduling and job tracking

Can an accepted quote create appointments automatically?

Yes. We can agree which appointments or tasks should be created when work is accepted. Your team can review and adjust the dates. Arris Stone uses order-linked events for material ordering, fabrication, templating and installation.

Can we keep using our existing calendar?

Often, yes. We check which connections your calendar supports and whether staff need to view appointments, change them or both. That helps establish how the calendar and job records should stay up to date.

Can staff record completed work and send it for billing?

Yes. Staff can record completed work, add notes and identify anything that still needs attention. The office can review those details before preparing the invoice. Our guide to scheduling, completion and billing explains this with a job that needs a return visit.

Inventory and materials

Can we start with the stock records we already have?

Yes. We can review your spreadsheets or software exports and plan how to bring across item names, quantities and locations. Checking those records against the stock you actually have gives the new system a reliable starting point.

Can we reserve materials for a job?

Yes. The system can distinguish stock that is on hand from stock already promised to a job. Staff can record what was used and release unused materials when plans change. Our inventory and jobs guide explains the difference between available, reserved and used quantities.

Can staff use barcode scanners?

Yes, with supported scanners and suitable item labels. Scanning can help staff find an item and record receiving, moving or using stock. We check your devices and how staff will use them before planning the connection.

Customer and admin portals

Can a portal be added to our existing website?

Often, yes. It can be added to the website or provided as a separate sign-in area linked from it. We review your existing site, accounts and software before recommending how they should connect.

Will customers only see their own information?

Yes. Customer access is restricted to the records they are allowed to use. We plan and test those restrictions, including any shared access needed by people from the same customer business. Staff permissions are set separately.

Can customers and staff use the portal on their phones?

Yes. A web portal can work through a browser on phones, tablets and computers. Forms, documents and other tasks are designed for the screens people will use, so they do not need to install an app just to sign in.

POS and payments

Can we keep our current payment machines?

That depends on the terminal and payment provider. We check the model, account and supported connections before agreeing on the integration. Our POS and payment terminal guide explains what to review.

What happens if a payment is declined or the connection drops?

The software needs to distinguish a confirmed payment from a decline or an unknown result. We plan how staff check the payment status and what happens before another attempt, a receipt or access to a paid service. The available checks depend on your provider.

Can business customers be billed monthly?

Yes. Account purchases can be collected into a monthly invoice using your agreed billing rules, with a review step before sending if needed. Klarity Car Wash uses connected business accounts and invoicing. Our monthly invoicing guide explains the process.

Reports and dashboards

Can reports combine information from different programs?

Often, yes. We check how each program makes its information available and how records can be matched. A report might combine sales, payments and job details, with access limited to the people who need to see them.

How often will the dashboard update?

It depends on the source software and how quickly you need the information. Some connections support frequent updates; others use scheduled imports. We agree the timing and show when the information was last updated.

Can we still download reports as spreadsheets?

Yes. Reports can include spreadsheet downloads for further analysis or sharing. We agree which columns, date ranges and totals you need so the export is useful without repeated formatting.

Software for different industries

Can the schedule warn us when someone is already booked?

Yes. It can check assignments against working hours, time off and other bookings. We agree which conflicts should stop a booking and which should show a warning for a manager to review.

Can staff see their assignments without changing the whole schedule?

Yes. Staff can have a view of their own work while managers plan assignments for the team. We agree who can change dates, assign people and see client or project details.

Can cabinet stores or other dealers prepare their own quotes?

Yes. Dealers can quote using your material and labour prices plus their own margin, then send accepted work to your team. Arris Stone is an example of this setup for countertop fabrication.

Can we schedule recurring visits for each property?

Yes. A schedule can include weekly, bi-weekly, monthly or seasonal visits, with the required services and instructions for each property. Your team can adjust individual dates when weather or customer plans change.

Can staff add photos and notes from the job site?

Yes. Staff can attach photos, notes and completed tasks to the job from a phone or tablet. The office can review those updates alongside the job details, with access limited to the people who need it.
